VIP days for freelancers are a new way of selling your freelance services that help you forget all of this. Instead, they allow you to:

• Get paid in advance for your services
• Do the actual work with no interruptions
• Deliver in 24 hours and forget about it

What’a VIP day?

Technically speaking, a VIP day is a time-based productized service.

What does that even mean? Imagine instead of selling your services as services, you packaged them as products. Forget about per-word or per-hour fees, and instead sell the end result – a blog post, a new LinkedIn banner, a web page, or whatever your freelance service is.

Now imagine that for your VIP days, you only packaged together the result you can actually produce in one day. And then you started selling them to potential clients, maybe those that don’t have the budget to afford your full project price.

That is the beauty of VIP days, and the reason why freelancers in all niches absolutely love them.

How to structure a VIP day

I have no idea who came up with the idea, but “VIP day” is a pretty smart name. 

Yet, a VIP day doesn’t have to be an actual day. If it fits your work day better, you can set it up so that you do part of the job on one day, and part of it the following one. (when time zone differences are involved, this may become a necessity, rather than a preference).

You are a freelancer – freedom is the name of the game.

So here are two sample structures you can use:

1-day VIP day

9 AM: you set up a call with the client so you can discuss the job beforehand

10 AM to 12 PM: you take care of the preliminary phase – if you are a writer this might be the research phase, if you are a web designer it may be the wireframe of a web page

1 to 5 PM: you tackle the bulk of the project, complete the editing part and make sure everything is ready for delivery

5 to 6 PM: you send the deliverables and wrap up the project, either via email or Loom video or with a call

2-days VIP day

Day 1, 2 PM: you set up a call with the client to outline the work you are going to do

Day 1, 3 to 5 PM: you start doing some work so that you have everything you need in day 2

Day 2, 10 AM to 1 PM: you do most of the actual project

Day 2, 2 to 4 PM: you apply the finishing touches, then wrap up the project

How to offer a VIP day

There are 3 ways you can offer VIP days:

• With a dedicated page on your website or featured post on your LinkedIn profile, so that clients interested in getting one can decide by themselves if it fits their needs
• Pitching it in preliminary calls with potential clients, when you feel the scope of the project is small enough – or that they can’t afford the price of your full packages
• As a way for existing clients to get extra rounds of revisions or additions that were not included in their original project

You can use them to fill gaps in between larger projects, or as a way to generate extra income all year long. 

If you are running a freelance side hustle and time is limited, you can even offer VIP days only. While this strategy helps you keep full control over your schedule, I wouldn’t recommend it – you risk ending up getting VIP days only where you could pitch a full-sized project. And that’s no bueno – unless you like leaving money on the table.

To avoid that, you could also pitch a number of VIP days (consecutive or not, depending on your schedule and the client’s needs), up to a VIP week. These are less common than VIP days, but they do exist, and can be a powerful tool to make even more money.

And about money…

There’s an even better way to make more money with your VIP days – using them as a way to show off your skills, so that the client keeps coming back for more… over and over again. But how do you turn one-off projects into a recurring source of revenue? By tying recurring VIP days to specific goals. 

Here are a couple of examples:

Get my full attention for a whole day once per month so that over the next 6 months you can:

• Publish 6 SEO-optimized blog posts on Y topic and develop topical authority in the eyes of Google
• Create a 12-email sequence for your new email subscribers that boosts conversion by X%
• Redesign your top pages, including the Home page, About me page and Product page
• Coach you on Z topic so that you can finally get from where you are now to X, Y and then Z
• Integrate your current systems with 2 of the external tools you are already using so they share data

This way, clients always know what’s next, and you don’t have to pitch them over and over again. 

(plus, it creates predictable revenue, which is amazing for budgeting)

VIP Day examples

Different freelancers apply different strategies to their VIP day offering.

Some offer VIP days and weeks only – which is a terrific business model, if you have enough demand. Others incorporate them as upsells or downsells. I have seen VIP days with fixed offers (“I’ll write 2 emails in a day”) and VIP days where clients can choose what they want.

Regardless of the formula, here are some that I truly like.

Copywriting VIP day

If you want a template for your VIP day sales page, look no further than VIP days from copywriters themselves.

There are so many that I like, but one stands out from the rest, and that’s the Buy My Day page from Leanna Patch at Punchline Copy.

Why does it stand out?

• The copy (text) has personality
• The key selling points are clear
• Has client logos + testimonials

As you can see from the image, this is not a single-offer VIP day – but the author didn’t leave the client guessing ‘Huh, how could I use this.’

Instead, she provides a few different options. This also helps potential clients to better understand what could fit a single day and what needs more time and a different project package.

Website VIP day

VIP days are not only popular among copywriters, though!

Web designers also use VIP days as part of their service offering. Here is a pretty cool example of what you could offer your web design clients in a single day.

There are a lot of things that I like, in terms of both design and copy:

• Perfect explanation of who this service is for
• Clear yet friendly web design VIP day policy
• Half day option available for returning clients

Clockify For Freelancers – My Review (is it really free?)

Are you looking for a time tracking solution for your freelance business?

If you are, then you have probably come across Clockify. Their team did a fantastic job at advertising Clockify as the best free time tracker for freelancers and employees alike.

But is it true that a free app can do what others charge at least $10 per month to do?

We are going to find out…

The best free plan on the market…

Clockify’s proposition is simple – they are the best free time trackers for freelancers, employees, everyone. And then, if you want more, they also offer paid plans.

It makes sense that as a freelancer, some of the features you need are not included in the free plan.

These are invoice creation and expense tracking.

This is fairly common for free plans (I also mentioned it in my Toggl review), but doesn’t prevent Clockify from having the best free plan I have explored.

In fact, most time tracking apps don’t offer any free plan at all, and those that do all have pretty serious limitations.

Toggl, which has the second-best free plan, does not allow you to apply any rate to the time sheets you create on your free plan, which is a fairly hard limit.

Also, with the Clockify free plan you can access the tool’s weekly view (above), which a lot of tools don’t even offer on a paid plan.

… But average paid plans

And yet, while the paid plan is solid, to make the most of Clockify you need to upgrade to a paid plan. In this scenario, you basically have 2 options:

• Standard plan ($6.99, billed monthly), that gives you access to the invoicing feature
• Pro plan ($9.99, billed monthly), that also gives you access to expense tracking

The paid plans are ok. Nothing wrong with them, but nothing worth mentioning. They are, basically, the same as others. They offer some features that you might find helpful, such as time sheet approvals and an integration with QuickBooks.

Since Clockify is not designed with freelancers in mind, it lacks some features that other solutions offer, such as recurring invoices for retainers. This, and other minor issues, makes me suggest that, if you have a budget of circa $10 per month, Toggl is a better solution for your needs.

The verdict – would I recommend Clockify?

Would I recommend Clockify?

If you are just starting out in your freelance journey and you have no budget, or you want to spend your money for other things, then yes. Get a free plan and use it till you can afford something better.

If you can afford to spend a few more dollars per month – btw, you should… you are running a business, and you should invest in it – there are two main alternatives that can save you much more time and help you run a more efficient freelance business.

FreshBooks is a time tracking and invoicing tool that’s absolutely perfect for freelancers. It can easily save you hours of admin work every month, that you can use to find new clients, learn new skills or even just chill. You deserve it!

Bonsai is a more complete solution for beginners and veterans alike. They offer a client relationship management solution that will really help you to grow your freelancing, a time tracker and time sheet manager that works perfectly, and better invoicing features than Clockify.

So here are the 3 best freelance jobs that can help you to:

SEO Expert

SEO experts are – you guessed it – people who’ll take care of search engine optimization for you. Their niche can vary significantly:

• Keyword research
• Content strategy
• Backlink building
• Technical optimization

Yet, all these specialists have something in common – they are making bank!

According to Ahrefs, one of the most popular SEO tools around, the average rate of SEO freelancers who’ve been in business for 2 to 4 years is a whopping $97.11. 

Copywriter

This is one of my favorites, and for a few reasons:

1. The market is immense, which means you can build your own micro niche and still find a ton of opportunities
2. You don’t have to go back to university – there are a ton of online courses you can take to start as a copywriter
3. Copywriters are everywhere, but good ones are really hard to find – if you are a high performer, sky is the limit

This is how much a copywriter makes after 1 to 3 years in the industry when they are employed. As a freelancer, you can make less than this, but also so much more. A good copywriter can easily break into the 6 figure territory within 1 to 2 years (and charge more than $ 3,000 for a single VIP day).

Full-Stack Developer

A full stack developer is a dev who does both front-end or back-end development. But that’s not all they do. 

Apparently, they also spend a long time counting all the money they are making!

Full stack developers with 1 to 3 years of experience charge $80 to $100 per hour, and their rates keep going up as they become more experienced. Those who have 3 to 5 years of experience mostly charge $120 to $140, and once you hit the 10-year mark, you’ll likely charge $150 to $200 per hour.

How to build your freelance business

Choosing the right freelancing skill makes a huge difference in terms of how much you can make – and how quickly you can get to a comfortable financial level so you can quit your 9 to 5.

And I have good news for you – all the rates we just mentioned were average. Which means you can make so much more, if you are good.

And that’s where the caveat is.

As a freelancer, being average is a losing proposition. The market is full of average freelancers with no business skills. If you want to build a freelance business that earns you much more than the average for your market, you can’t be just another guy offering the same thing to everyone who’ll buy it.

You need to build the actual business. How do you do it? In 3 simple steps.

1. Define your offer (aka find your niche)

I know niche has become kind of a buzzword these days. 

Everyone is telling you that you need it, but nobody is clearly explaining how to choose one and how to dominate it. If you are interested in knowing more, check out my ultimate guide to finding and dominating your niche as a freelancer. 

In short, here’s how it works:

• Choose a market that has money – SaaS businesses. Course creators. Crypto or AI companies.
• Start hanging out where your potential clients hang out to better understand your ICP (ideal customer profile)
• Make sure all your profiles, posts, messages focus on your potential client’s problems – and how you can solve them

2. Choose the one channel you are going to use to find clients

You have probably read the mainstream advice: start creating profiles everywhere! Get a website! Use Upwork! Shoot cover letters! Cold pitch! And so on and so forth.

The mainstream advice is written by people who have no f***ing clue.

And I am living proof of that – I made over 6 figures as a freelance translator without ever publishing a single post on social media, with a pretty shitty website and no authority other than recommendations by previous clients.

As a freelancer, you can find clients in many different ways.

1. Need to get clients quick? Answer job posts, on Upwork (spoiler: it won’t pay that well) or elsewhere.
2. Want to pick and choose who you work with? Send cold emails.
3. Want people to find you, and not the opposite? Use social platforms.

And these are just a few ideas. There are actually many more tactics you can use to build a freelance business that works for you.

3. Focus on mastering that one channel

Choosing one channel doesn’t make you a master of it.

In fact, as soon as you start working on landing clients, you will realize you have a ton to learn. That is exactly why I recommend to use one single channel to build your freelance business – so that you have the time to become more and more proficient in it.

If you want to save some of that time, though, you can work with a coach to learn from their experience and start your freelance business in less than 6 weeks.

How to maximize your earnings

Improving your freelance business is an infinite game.

Once you have landed your first client, here are three things you will need if you want to grow your freelancing to 6 figures and beyond.

Authority

When the client thinks you are an authority in your niche, they will happily pay a premium to hire you instead of your competitors. 

But how do you build authority in the eyes of your customer?

1. Guest posting on industry sites and appearing in industry podcasts – when clients find you through channels they find authoritative, you automatically become an authority yourself
2. Regularly posting your insights on social platforms – publish non-obvious content that is truly helpful for your clients, and they’ll want more from you (and will pay for it)
3. Showing up as the only professional in the room – if you are the only expert in a group where only potential clients hang out, they’ll talk to you before they start looking for anyone else

Strong web presence

A potential client just landed on your website or LinkedIn profile. Or any professional profile that you choose to create on other platforms, really. 

Maybe you pitched them, maybe they found you through a guest post you wrote somewhere, or maybe they read one of your posts and decided to check you out. However they arrived here, you worked hard to take them where they are now.

Don’t screw it up!

When they open your site or profiles, clients need to be able to tell what you do and who you do it for within the first 30 seconds.

At the very least, you want to have:

1. A crystal clear explanation of your services above the fold (the section of the website you see without scrolling, as soon as the page loads)
2. Proof of authority – testimonials, case studies, logos of previous clients. If you are just starting out, you won’t have these. That’s why it’s extremely important to get your first project ASAP
3. A call to action to prompt clients to book their introductory call or purchase what you are offering

Design-wise, you don’t need a $10,000 website or $1,000 graphics (unless you are a web/UX designer – in that case, your own website is the first item in your portfolio). 

You need a couple of professional photos (not selfies) and a website that doesn’t look amateurish. You can find a decent designer on Upwork for less than $500, or you can use Carrd.co to create a 1-page website for as little as $20.

Money

I am not losing my mind.

When you start to freelance as a side hustle, you’ll be tempted to quit your job so that you can have more time to dedicate to your freelance business. Yet, the money you make in your day job can help in several ways:

1. To pay for courses – if you have to build your skillset before you start as a freelancer, you’ll have pay for your training
2. To give you some room to start gaining experience regardless of how much you are getting paid
3. To have someone review your marketing assets (pitches, proposal templates, LinkedIn profile, website)

That is why you need to keep your 9 to 5 while you establish your freelance business. When do you quit your job? Once you have been making enough money to survive for at least 3 to 6 consecutive months.

In the meanwhile, work to develop a solid time management system – it’ll help you significantly, even after you finally quit.

Toggl for freelancers – My Review

• Toggl is a cheap time tracking solution for freelancer, with plans at $10 per month
• Toggl is a fantastic tracker for fans of the Pomodoro time tracking technique
• Its calendar view is different from anything else I’ve seen in other time trackers

In my journey to review all the top time trackers for freelancers, I quickly ended up finding Toggl and its time tracker, Toggl Track.

I wasn’t expecting much – after a while, all time trackers become kind of similar.

And yeah, Toggl does not reinvent the wheel, but it has a free plan that beginner freelancers will find helpful, and some features that I really, really liked.

What are these features? Let’s dive straight in!

Core feature: time tracking, pure and simple

There is a reason why Toggl has a lower price point than other tools – it focuses on time tracking exclusively, without the bells and whistles. And if you are looking for something that is nothing more than a time tracking tool, Toggl is a great product at a great price.

Toggl allows you to start tracking times in 3 easy steps:

1. Set up your new project

From the main menu on your left, set up your billable rate for later.

Next, simply go to Project > Create new project.

Here you can name the project and create the client, and then add a couple of extra details.

Unfortunately, the fixed fee option is only available for the Premium plan, which costs $20 per month.

2. Start tracking

Once the project is set up, just mark the hours you are about to track as Billable, hit the Play button and that’s it – Toggl is now creating a time sheet for you while you work.

Chrome users (is there anyone who doesn’t use Chrome in 2024?) can also use the Toggle Chrome extension. I have tried it on several projects, and it works pretty well.

Productivity features

In addition to time-tracking, Toggl has 2 features that I really liked and that other time trackers lack – a weekly calendar that allows you to time block/time box your days, and a series of features that allow you to use the Pomodoro technique.

While this is common in most calendar apps, very few time trackers offer a calendar view.

Toggl does, and I love it, because it allows you to time block your days so that you optimize your time as best as you can (and stop finding excuses like ‘I don’t have time for pitching’).

Keep in mind that Toggl is not a time blocking app, and if you become a time blocking pro, you will probably end up with some dedicated tool.

But I expect most Toggl users to be beginner freelancers, and for them, even an extremely basic feature like this may be quite helpful.

Pomodoro time management

If you are into time management, I am sure you have heard of the Pomodoro techinque.

In a nutshell, it’s a time management system that breaks up your working hours in intervals, separated by short breaks. The average Pomodoro time block is 25 minutes of work, followed by 5 minutes of break.

When you use other time trackers, you need to:

• Set up an alarm when you start tracking your time
• Stop tracking when the alarm rings
• Take your break
• Restart your timer (and the alarm)

I don’t use the Pomodoro technique myself, but I can see that this sucks.

Toggl has dedicated Pomodoro settings that automate all of this so that you don’t have to do any of that.

You just start your timer, and it’s set up so that it stops in 25 minutes. Oh, and when you hit the 25-minute mark it reminds you to stop working as well.

It’s a relatively simple feature, but if you are a fan of this technique, it’s a huge time saver.

Toggl free plan – and why I am hesitant to recommend it

Not all time trackers offer a free plan, and I really appreciated that Toggl does.

However, the free plan has serious limitations that make me hesitant to recommend it. The main issue is that the free plan doesn’t offer you the option to set up billable rates – while it creates your time sheets for you, you can’t even apply your hourly rate to it.

So you have to track your hours in Toggl, but then use your calculator to actually know how much you can charge your client. Not to even mention the possibility of creating invoices, which only exists on the Starter plan.

Where does it leave you?

With a nice Play – Stop feature on a browser extension, and a recap of the time you spent working on a project. If that’s all you are looking for, then go for it. But to be fair, there is very little difference between this and noting down your time sheets on a piece of paper next to your laptop.

Bonsai For Freelancers – My Review + Guide

MY BONSAI REVIEW FOR FREELANCERS

• Bonsai is a fantastic all-around tool to manage your freelance business
• You can use it to replace a lot of other tools, such as time tracking apps
• Bonsai’s templates are absolutely fantastic, especially for freelancers
• The only feature that’s a bit lacking is project management

Do you know that weird feeling you get when you realize you’ve been dead wrong about something, but you are so happy that you were?

That’s exactly how I felt when I first tried Bonsai.

You see, I have been freelancing for 12 years, and I know what my avg project looks like. I get the client > We exchange contracts > I do the work > I invoice > They pay.

You don’t need a CRM for that. Actually, it only complicates things. It has a learning curve. It comes with features most freelancers won’t ever need. And most of the time these tools are pretty expensive.

And then I tried Bonsai, and it made me feel like a complete idiot.

CRM

Bonsai is first and foremost a CRM (Customer Relationship Manager) – a place for you to manage your customers starting from the moment they inquire about your services.

First, create your client profile on the platform (it takes less than 30 sec).

Then open their profile on the platform and create a new project. If you are running a coaching business and this is a new lead, the first step is setting up a discovery call.

Call scheduling system

You can use Calendly (integration is available on the Professional plan) or Bonsai’s own scheduling system. Creating your own booking page only takes a couple of minutes, and here is the final result:

You can also add your pic on the top left and customize this further – eg you can decide if clients are able to book on the same day, how far in advance you want your calendar to open and the like.

Once the potential client has booked their discovery call, you can create a Project. We’ll call it ‘Weekly coaching’, and it’s the hub for everything that has to do with our potential client Chris.

Inside the Project, we create our first task – our initial call.

Client management

Our call is now on the Bonsai system, but we want to go a step further and send Chris a confirmation email for his booking.

We don’t need to go to our inbox and message him, because we can do everything inside the project.

That is the power of a CRM.

As the customer keeps moving through their journey, we can turn them from a lead to a client, and then mark where they are and what steps they need to take.

Once everything is done on the admin side, we can finally create our Tasks and mark the project as ‘In progress’.

Project management

Bonsai has a project management window, but it’s not a real project management system like ClickUp or Asana.

Basically, they have a project window where you can add tasks.

Tasks

Tasks are the single parts of any project. Bonsai allows you to track your tasks, create associated time sheets and always know what you have to do, when and for whom.

As you can see, this is pretty basic. It’s a to-do list, but not a project management tool. While it’s certainly enough for a solopreneur, if you are running a more complex business (eg a small agency) then you may need a proper project management tool, and a different software solution (ClickUp comes to mind).

Templates for everyone

Bonsai’s marketing materials focus a lot on templates, and to be fair that’s not something I valued that much.

After all, free templates are available online, for everything you can think of.

And yet, I had to remind myself that as a beginner freelancer, I didn’t know many of the things I know now. I didn’t know how to search for certain things, who to trust, where to go for advice.

And when I look at it this way, Bonsai’s templates can be quite valuable for someone who’s just starting on their freelance journey.

The Bonsai team created a ton of them.

164, to be specific.

And they really have a bit of everything: from quotes for content calendars to proposals for bookkeeping and app development, whatever your freelance gig, I am pretty sure you can find something that works in any situation.

Also… they are extremely good looking! Even if you are just starting out, their templates will make you look like a million bucks.

Time tracking and invoicing

Among the other things, Bonsai has time tracking and invoicing features. How are they? Well, just like any other feature they have – straightforward, easy to use, and they work perfectly.

Time tracking

To start tracking your time, simply click on ‘Track time’ in the upper right corner.

The timer will start, and you will be asked to choose with project and which task you are working on.

Creating time sheets this way allows you to bill the client per project and per task (eg Article writing, 2 hours of research, 3 hours of actual writing).

Don’t worry if you end up stopping your time sheet at odd numbers like ‘1:12:23’, you’ll be asked if you want to round up the number when you create your invoice.

Needless to say, you can also adjust your time sheets manually if needed.

Invoicing

Once you have created your time sheets, adding them to your invoices is super easy.

Just hit ‘Invoices’, then ‘New invoice’. You’ll be asked if you want to create a single, subscription or recurring invoice. Let’s say in this case it’s a single one.

If you have unbilled hours, Bonsai will automatically tell you about them. Long gone are the days when you had to copy paste time sheets manually to create your invoice – with Bonsai you can do it in 30 seconds.

You don’t use hourly rates? No problem. You can also bill per day, week, item or word.

Pricing

I can hear you wondering – sure, but how much does that all cost?

If you are just starting out as a freelancer, a Starter plan has everything you need, and at $21/month, I can confidently say you are getting a pretty great deal.

As a comparison, FreshBooks (another tool I loved) costs $30 per month and it doesn’t have any of the CRM features you’ll find on Bonsai.

The verdict: can you really run your entire business in one place?

I’ll be straightforward – I loved Bonsai from the first moment. But can you run your entire freelance business using Bonsai only?

No, I don’t think so.

There are two areas where they are a bit lacking:

1 – Project management. If most of your projects as as simple as calls, work, deliverables, review, invoice, then Bonsai is enough. But if they aren’t, then their project management features are a bit lacking.

2 – Calendar. If you time box or are generally interested in productivity, you’ll need a calendar app to go with Bonsai.

With that said, a calendar is a minor part of your business toolkit, and most freelancers I know don’t need a proper project management tool.

So I’d say most freelancers can run 90% of their business on Bonsai, which is still pretty freaking amazing.

I HATE THEM!

And I’m not going to tell you that the answer to your question is ‘it depends’… but:

• If you want to run a lifestyle freelance business, that maybe doesn’t make that much money, but is super easy to manage, then yes, get a few anchor clients and forget the business side (at your own peril)
• If you want to build a performance freelance business and make as much money as you humanly can, then no, an anchor client will hold you back in your growth trajectory.

Now let’s see why.

How I define an anchor client

The idea of an anchor client is somehow vague, so here is my definition:

An anchor client is a client that sends you work on a constant basis. May be weekly, may be monthly, may even be daily, depending on your freelance business. They are always there. Usually, an anchor client provides 10 to 50% of your freelance income.

Every month, you know you are not starting from zero. You have a certain amount of hours that your anchor client usually fills, and then the rest. Sounds brilliant, except it can have its drawbacks.

My first anchor client – and why I loved them

As you may have read somewhere on my blog, I started to translate as a side hustle while I was still a student.

I used Upwork to land translation jobs, which meant I had to spend a lot of time crafting proposals. They worked, but they also created a ton of unbillable hours. And then a client I landed became an anchor client.

They used to send me one hour’s worth of work every morning at 9 AM, and they expected me to be finished by 11 AM. Monday to Friday, that was 21 hours of work per month, and they paid $800 for the priviledge. I loved them. Before landing them as a client, I was making $500 per month. They helped my freelancing to go from a date money side hustle to a ‘kinda real job if I keep going’.

I worked with them for almost two years, then I passed their contact to a freelance friend of mine who worked with them for two or three more years. She was also a beginner, and she was happy with what they sent her, so she never went out to market her services elsewhere.

When they ceased operations, with a 3 day notice, she had to look for a full time job.

Which leads us to why anchor clients need to be handled with care…

My second anchor client – and why I hated them

A few of years later, I landed my second anchor client ever.

By then I had a more established freelance business, but this particular agency client took it by storm with a Big Five tech account and a ton of work, every day, as long as I said ‘yes’. 3 months in, they were sending me $2500 per month, roughly 50% of my freelance income. Except this time I was a bit nervous. Their work came with:

• A lot of red tape because of the VIP client
• A 15% discount to my standard rate
• No minimum fee (if they sent 5 words, I translated 5 words, at less than $0,50)

You see, anchor clients can be tough to handle. Since they have a lot of work to do, they know they are an important piece of your freelance income pie. They expect you to be available for them. They often require some kind of discounted rate (while you keep raising your rates for other clients). And they can hold you back, because you don’t have time to go market your services.

After 2 years spent working together on a daily basis, I moved from Italy to the UK. They knew, I had told them, and they said it was not a problem.

Except it actually was. As I set foot abroad, 50% of my income vanished. They said they wanted in-country linguists. They knew we weren’t going to be able to keep working together, but they kept me busy till the very last day because it wasn’t easy to replace me.

I said ‘never again’.

Managing 3 anchor clients – and why I burned out

As I rebuilt my business, I got clients who’d potentially keep me busy for a lot of time, but this time I knew better.

Three years later, I was managing 3 anchor clients. Each amounted to 20 to 25% of my freelance business, and the remaining 25% was covered by occasional clients.

This was probably the ideal structure for my freelance business back then – I knew I was not depending on a single client, and I still had time to market my services and keep growing my business.

Except it started a process that would end in a pretty bad burnout a few years later.

You see, managing 3 anchor clients can be a pretty crazy experience. As they expect you to be available most of the time, if their work volume peaks at the same time, you will find yourself working 10-hour days.

Been there, done that. Time management can’t save you when you have too much work.

The alternative – freelancing without a single anchor client

Over the last 3 years, for the first time ever, I became a freelancer without a single anchor client.

Sure, I have repeat business from clients who have been with me for years, but we don’t work together on a weekly basis. They may have a huge project one month, and no projects at all the following ones.

And surprisingly enough, my business has remained stable ever since. I don’t know how, but every month or two I get a pretty big project that makes up for the lack of anchor clients.

A client who sent me $15k worth of work in Q1 2023 has been pretty much dormant ever since. But since then others have picked up. Old project managers reach out to me all the time as they move somewhere else. From time to time, they come bearing months’ worth of work.

At first, I struggled a little with the uncertainty of starting from $0 every month, but over time I’ve gotten used to it. It’s a different way of freelancing, and I have discovered that at this particular time I quite like it.

So what – The ideal portfolio of clients

If I could build an ideal portfolio of clients from scratch, would I include an anchor client?

I wouldn’t want one anchor client, but I’d take two small-ish ones. Let’s say 30% of my workload, combined, 15% each.

An ideal world may not exist, but I think a similar structure can be an ideal goal for aspiring freelancers.

FreshBooks for Freelancers – My Review + Guide

Core features: time tracking and invoicing

At its core, FreshBooks is a time tracking + invoicing solution.

While not the only time tracker for freelancers, FreshBooks is the best tool I’ve found to track your hours in the background and then add your time sheets to your invoices in a couple of clicks.

If you are looking for an all-in-one tool to manage your entire freelance business, you’d better look elsewhere. But if what you are looking is a time tracking and invoicing solution, honestly, look no further.

Here is how easy it is to track your time and create invoices on FreshBooks.

1. Set up client profiles

Once you have signed up on FreshBooks, create your clients’ profiles. It’s super easy and it only takes a minute or two.

You can include everything you need. As I’m based in the EU, for example, I have to add my clients’ VAT IDs to each and every invoice. I just added them to the client profile, and then FreshBooks uses them automatically at every new invoice.

2. Start tracking your time

The time tracker is the core feature of FreshBooks, so it makes sense that it works effortlessly.

You simply go to Time Tracking on the menu on the left handside, and then click on Start tracking.

You can select a client or a project for your time sheet, so that you have it ready for later when you go to create your invoice. And title your time sheet however you like. The title can go on the invoice, so if you need to include POs, or the client have any specific invoicing requirements, here is where you add a title.

You can also select ‘Internal’ if you want to track unbillable hours – time spent on marketing your services, discovery calls and the like.

Once done, click on Log time and that’s it – your time sheet is now saved and ready for invoicing.

3. Add your time sheets to your invoice

Whenever you are ready to invoice your client, just go to Invoices, then ‘Create new invoice’.

The magic is one click away – as soon as you click ‘Add new line’, you’ll be taken to the Unbilled time and expenses screen.

Select the time sheets you want to include and then customize the entries based on your requirements (there are several options), click ‘Add to invoice’, and that’s it – your invoice is now ready to be shipped to the client!

More than just time sheets

Not only FreshBooks creates your time sheets and adds them to your invoices in just a few clicks – it has integrations to follow the whole payment cycle, automatically send reminders if the client is late and mark payments as made when they land on your account.

I particularly liked their retainer option – if you have some clients on a fixed price retainer (more and more common, considering the rising popularity of productized services) you can also invoice them through FreshBooks.

Why should you?

Because FreshBooks automates these kinds of invoices particularly well – you can automate them so FreshBooks sends them every month, at a predetermined date, and you can totally forget invoicing.

Potentially, if you run a freelance business that’s entirely productized, you can set up FreshBooks in a way that allows you to never do your invoicing again (except for cancelling clients when they leave and adding the new ones you gain).

My experience with FreshBooks

If you have read this blog, you know I am a big fan of time-saving hacks. Time is one of the few things you can not buy, and I hate to waste it on tasks like invoicing. Sure, it’s important, but anyone can do it, and I’ve always hated it.

Even though I rarely use hourly rates, FreshBooks helps me to save 4 hours per month, every month. What used to take the whole Saturday morning on the first weekend of the month is now a simple one-hour task I can do at any time during the first week.

If you use hourly rates for most of your projects, I can easily see how you can save even more time.

Is it worth it?

Let’s do the math!

If FreshBooks can save you as little as 3 hours per month on invoicing (spoiler – it will), at $33 per month, you are paying $11 per hour.

That’s probably less than what you pay for basic household chores like cleaning and laundry, and much less than what you should be making as a successful freelancer, regardless of your niche.

For me, at this price, FreshBooks is a fantastic deal.

1. Take a few hours to research

Good pitching takes research. You need to know:

• Which companies you want to pitch
• Who you need to contact at those companies
• What their motivation is (more on that in section 4)
• What communities they’re in and what they post
• What’s the email address of the receipient
• If there are similar companies to pitch

This doesn’t have to take forever. Ideally, you’ll start from a short list of ideal clients, then you’ll just need to find similar companies.

Google is all you need to create your list.

2. Create a list of companies to pitch

Starting from a list of a few companies, first go to Google and search for their product/service. You are going to need a few searches: [Product/service] ‘Best [product/service]’ and ‘Best [product/service] for [their ideal clients]’ and ‘[Company name] vs’.

Let’s say you write email sequences for SaaS companies and you want to target companies in the accounting field. But you only know two companies in the field: Freshbooks and Quickbooks.

You are going to search: ‘Accounting software’, ‘Best accounting software’ and ‘Best accounting software for small businesses’.

The first results of this search are all roundup posts. Going through them, you can triple your list so that you have at least 10 to 20 companies. Keep scrolling for a few more pages, and you’ll add more to the list.

Once you are done, you can search ‘Best accounting software’. See what happened? The search result changed, and now Google is suggesting a number of companies. Add them to your list, then go through the results as you did earlier.

Last, take every company in your list and type in the Google search bar ‘Company vs’. What’s interesting here is the autocomplete feature – Google will automatically recommend companies in the same area as the one you used. See if you can find some hidden gems.

Tip

Sponsored search results are a goldmine! These are often paid by smaller companies who are trying to get traction. Based on the specific niche, it’s possible they paid top dollars to be there. Which means they have money to invest.

3. Find a contact person and their email address

Ideally, you now have a list of 50 to 100 companies you can target. It’s time to find out who to target at the company, and what their email address is.

You are going to need LinkedIn to find names and a platform to get email addresses.

For each company you found:

• Open LinkedIn and search for the company name in the search bar
• Click on the company name in the search results
• Click on People under the company name
• Search for the position you need to find in the dedicated search bar
• Go through the results and note down all those that have potential

If you are not sure who the best contact is, note down all those you need. When in doubt, it’s best to contact the position higher up on the company ladder. They are more likely to be able to give you the green light.

Once you have your list of companies and contacts, it’s time to get their email addresses. How do you find them?

It’s easy.

Just use a tool to find contact information. I have tried a couple over the years, and my favorite is Rocketreach.

It’s not free, but it’s not expensive either. You can get all the email addresses you need with a one month Essentials package, priced at €49/$53.

4. Study your prospects or their businesses

At this point, you have everything you need to kickstart your cold pitching campaign. It’s time to decide what to write.

You don’t want to go through the research phase only to blow it up with a bad pitch.

To craft a good pitch, you need something that’s interesting for your potential client. What’s interesting for them depends on their role in the company. Most people, however, are tasked with increasing one or more of these:

• Leads
• Conversions
• Profits

Examples? If you are a content writer, you can pitch content that will keep their readers on the page for longer, so that their articles rank higher on Google and they ultimately get more leads.

If you provide virtual assistant services, you allow CEOs to save time so that they can focus on what really makes a difference for their company – and bottom line.

Your task in this phase is to find out how your services can increase one of these for your potential client. The more specific, the better.

7. Follow up

Following up is not begging.

In fact, if you did your research right, you are offering potential clients something that can really help their business – by following up, you are helping them to make more money.

Data is clear – 55% of replies to cold email campaigns come from follow-up emails. AKA more than half of your potential clients, people who are actually interested in your services, need more than your first email to give you an answer.

How many times should you follow up? I recommend at least three times over 2 weeks. If you haven’t heard back from them by them, follow up 2 weeks later, then 1 month later, then once every couple of months.

You don’t need to get creative. Just do it.

Keep in mind the receipient knows why you are following up and they are used to this, so you just need to come up with a reasonable enough excuse. I have found this works pretty well for me:

1- Offer expansion. Use this email to clarify part of your offer, include a case study, or answer a common objection you have faced in the past.

2- Simple reminder. Don’t even try to pretend you want to add anything – simply say Hey, I know we all suffer from inbox fatigue, and I’m not surprised you haven’t replied. But if you are interested, here’s a reminder.

3- Is there anyone else I should contact. If they have not replied to my cold pitch and 2 follow-ups, in my last email I ask if they are maybe not the right person to contact, and in that case, could they please refer me to the right person at their company?

Do you need a freelance niche?

No.

You can be a freelancer without a niche, and I know many freelancers who never found theirs. There’s just one small problem. They all:

• Struggle to find clients
• Have shitty rates
• End up hating their freelance business

Why?

See that You icon? That’s you right now in the eyes of your potential clients.

There are thousands of other freelancers just like you, all waiting for clients to go find them. Except they are invisible to their clients’ eyes, because they are just like everyone else.

And if you are thinking ‘Yeah well, it took me a couple of seconds to find Me, but I did!’ I’m sorry to tell you that your clients don’t have that time.

So yeah, maybe you do need a niche after all. Now let’s see how to find one.

Tip

Not all niches are created equal: the sexiest your niche, the more crowded it’s probably going to be.

The 3 features of any great niche

Every good niche I have ever seen has 3 features.

• The niche is growing or mature/stable
• There is enough demand that you can carve a sub-niche for yourself
• It’s not impossible to target potential clients within that niche

If 1 is missing, you can probably work something out, but you are always going to struggle. If 2 or 3 are missing, that niche is not a good niche and you should run away and find something else.

The niche is growing or mature/stable

You don’t want to find yourself in a niche that is shrinking, or where everyone is losing money.

Newspapers is the first example that comes to mind. If you provide any freelance service to newspapers, you are going to struggle even if you are good, because the market is sh*t. If you offer that same service to niche sites, a market that is actually growing right now, you are probably going to be able to sell them at a much higher rate.

Another example? My translation niche is Forex (mature market with lots of operators) and cryptocurrency.

The demand for Forex translation services is stable – it’s a pretty good market that’s been around for centuries. Crypto is different. The cryptocurrency market is quite unstable and moves in 4 year cycles, with 2 years up and 2 years down. Do you know what happens during the 2 years it spends going down? Demand dies down.

There is enough demand that you can carve a sub-niche for yourself

This is what happens when you go from ‘I’m a copywriter’ to ‘I’m a copywriter specialized in building funnels.’

A bit better, and it starts to get interesting, but still not perfect.

How about ‘I’m a copywriter who specializes in building funnels for investment firms?’

I’m sure we can all agree – if you are a business development manager who’s unhappy about their current funnel and someone like this reaches out, you are going to notice!

For this to happen, though, your niche needs to be big enough for you to be able to specialize further.

It’s not impossible to target potential clients within that niche

This has a lot to do with lead generation and the different tactics you can use to find clients for your freelance business.

If you are targeting businesses, finding them will never be an issue. If you are targeting people, however, make sure that you can identify them first. If your ideal client does not hang out in any groups, can’t be targeted with an email, and you can only reach out to them with a phone call and only after 6PM once he’s done with work… you may have a problem.

Solve that problem. Run away.

You may not have a niche, but have you considered SME?

Your niche may not be clear yet, but we all have something we’re already knowledgeable about – that’s your SME – subject matter expertise.

First off is your professional/educational background. What do you currently do, or what did you do, in the last 10 years? If you have not spent them working, but rather studying, what was the subject of those studies? Major in electrical engineering? 10 year working as a travelling nurse? These can all help you.

Second, you want to consider your hobbies and passions. Motorbikes? Make up? Scuba diving? There are opportunities here.

Before you start developing a niche, consider your subject matter expertise – it can help you steer your wheel in the right direction from the get go.

How to land your first clients in your freelance niche

If you really want something, do whatever it takes to get it.

As a freelancer trying to break into a new niche, that could mean you will need to work for very little money or – God forbid – for free for a little bit.

And that is perfectly fine.

Extra tip: as you start growing your client base in a niche, consider accepting one or two anchor clients, even if they negotiate a reduced rate (nothing too crazy, though). That’ll give you some time to land other clients, and a couple of industry names as additional proof of your skills.

How to find work in a niche with zero experience as a freelancer

My suggestion? If you need to do some work for free, or for very little money, then work for yourself.

If you are a SEO, build your own website. If you are a writer, guest post on high-profile media outlets (extra tip – this will teach you pitching as well). If you are a web designer, create templates, then sell them on marketplaces.

I realize this may not be applicable for all freelance gigs.

As a translator, translating Wikipedia pages doesn’t impress anyone. As a consultant, you can’t help yourself. And as a virtual assistant, you need someone to… well, assist.

If that is your situation, don’t be scared to work for very little money as you start your freelance journey. Upwork may be a good place to do that.

How to enter a new niche as an experienced freelancer

If you already have some experience under your freelance belt, congrats – the situation is much easier for you!

Here are 3 steps you should take:

• Update your web presence. LinkedIn, industry-specific directories, your website. They all need to show you are looking for work in your new niche.
• Start reaching out to all your previous and current clients to tell them about your new service. They already trust you with other projects, so there’s no reason why they shouldn’t trust you with new ones.
• If any new clients come knocking at your door but they seem hesitant, don’t lose the opportunity – give them some kind of introductory fee (a 20% discount should suffice), making clear that it only applies to your first project.

How to own your niche (and kill any price objection)

Authority.

Authority can single-handedly take your freelance business to six figures… if you know how to build it.

When potential clients see you as their best choice, the only freelancer in the whole world who can solve their pain points and

• save them money
• grow their profit
• give them back their time

They won’t budge when they’re quoted a much higher rate, or that they have to wait for a few extra days before they get the deliverables.

But how do you build authority? Here are a couple of options.

Steal other businesses’ authority

It sounds bad, but it’s actually not.

If I’m an entrepreneur in a given field, what podcasts do I listen to? What niche-specific websites do I visit? What seminars do I attend? Why do I go there, and not somewhere else?

Because they have authority in my eyes.

That’s why guest posting, podcast appearances and talks are so valuable – because they allow you to associate your name to that of authoritative businesses.

Now, some freelance gigs may not be suitable for this tactic – as a proofreader, I get it that it’s hard to find something to guest post about on Fast Company. If that’s your case, don’t despair, because the next tactic can be used by freelancers in any field.

Become the only freelance [Writer/Designer/Whatever] in the room

Are you a writer specialized in health and fitness? If you join the ‘Health and fitness writers group’ on any social network, you are nothing special.

But if you attend the annual conference of health and fitness bloggers, with an entry ticket of $2,997… I bet you are either the only writer in the room, or one of few.

If you choose conferences, then you are going to have to spend some money. Here are a couple of cheaper options:

• Free – Try Facebook groups where your clients hang out. Don’t become a used car salesman. Just be helpful. Answer questions when you can provide value. Always mention what you do. Leads will come.
• (relatively) Low cost – Paid communities! Paid communities for entrepreneurs or people in your industry are a goldmine of potential clients. They are similar to Facebook groups, but the monthly subscription creates a barrier to entry. People who spend money to network and grow their businesses are always interested in great service providers.

Grow your personal brand by posting contents

This is my least favorite method, but it works.

It’s also the simplest – create great contents on social networks, start getting followers (this freelancer gained 150k of them on TikTok) and opportunities will follow.

Why don’t I like it? Because either you know how to do it, or you are wasting hours and hours every single week. As a freelancer, you don’t need an active social media presence. If you decide you want one, then you’d better make it laser-focused on getting leads.

3. 100M Leads – To easily get more freelance clients

I love Alex Hormozi for a reason – he is not afraid to tell you the truth.

In his book 100M Leads, he tells you everything you need to know about how to find clients for your (freelance) business. If you are struggling with lead generation (aka getting clients), the book has all the strategies businesses big and small apply to make millions of dollars.

Here is how you can apply this book to your freelance business:

• Read all the possible tactics you can use to generate clients
• Choose one of those tactics, then follow the advice included in the book to execute it
• Be more ambitious – if the man has built several multimillion dollar businesses with these tactics, I am sure you can get to 6 figures

4. The New Corner Office – To learn how to work from home

Avoid commuting, be physically present for your loved ones, get paid based on results, not time. These are all great reasons why working from home is an amazing choice.

Unfortunately, though, it’s also freaking hard. It’s been 12 years for me, and at times I still feel like I am struggling with it. If you are scared to start working from home, or you are already doing it and it sucks, The new corner office is for you.

Here is how you can apply this book to your freelance business:

• If you are still working a 9 to 5, set the right expectations for what your life is going to look like once you leave the office forever
• Establish routines and boundaries, both with family and friends and people you work with
• Learn how to network effectively even though you no longer see your coworkers in person

5. Company of One – To remind you why freelancing is the answer

It happened to me as well – when I became a six figure freelancer, I asked myself ‘What’s next’. Hiring someone? Subcontracting to other freelancers? Creating an agency?

According to Paul Jarvis, author of this book, the answer might not be any of those. In his book, he explains how staying small – rather than pursuing growth at all costs – might be the best option for freelancers like us.

• Design a business that fits your life, rather than burning out try to make life work around your business
• Reconsider your options if you are considering switching to an agency model
• Appreciate your business more, in spite of feast and famine, ungrateful clients and everything else

6. Stop Thinking Like a Freelancer – If you want to scale your business further

Work-life balance is great, solopreneurship is fantastic and all that, sure. But how the f*ck can we make this whole thing more profitable?

Liam Veitch describes just how he built a $1M design business. Liam now owns a web design agency, so he has experience on both sides of the spectrum.

I really enjoyed his book, even though I know nothing about web design (except that it’s expensive).

Here is how you can apply this book to your freelance business:

• Stop thinking like a solo show and start positioning yourself as a real business
• Leverage recurring revenue to escape feast or famine and give your freelancing (some sort of) income predictability
• Increase your online visibility so that your dream clients find you, not vice versa

7. The Art and Business of Online Writing – Because writing is a 10x multiplier

This one is by Nicolas Cole, a guy who’s literally made millions doing one thing only: writing.

If you want to monetize your writing talent but you are thinking it’ll never be enough to make ends meet, if you are struggling to find clients as a writer, or if you keep postponing the beginning of your writing career, then this is for you.

Tip

This is a must-read, whether or not you are a freelance writer. Writing is one of those skills that can increase your money-making potential by 10x if you do it right.

8. Burn Your Portfolio – For designers

I was hooked since I read the title.

• If you are great at design but poor at business, this is a no brainer

9. Become A Successful Virtual Assistant – For virtual assistants

This book is such a great intro to the world of virtual assistant services. I really like VA as a side hustle for beginners because you can learn some of the skills you’ll need in very little time, and learn the rest as you go – while getting paid for it!

This book teaches you exactly how to do that.

• Go from your 9 to 5 to freelancing as a VA in 8 solid steps
• Discover the ins and outs of the VA market
